Media Registration

Media registration for World Youth Day 2008 is open and will close on Friday 20 June 2008.

Detailed information regarding the media registration process is highlighted later on this page.

To maintain the integrity of all venues used during World Youth Day 2008 (the event, or WYD08), there will be a process of security and identity screening for everyone including domestic and international media seeking access to venues, meetings and functions.

Advertisement

Access to media facilities, services, specified events and media opportunity information will only be available to accredited media representatives.

To ensure staff flexibility at event time, it is recommended that media organisations arrange accreditation for an additional number of media representatives.

All media representatives employed by bona fide media organisations will need to apply individually for accreditation and complete a separate application form.

It is recommended that the Chief of Staff for each media organisation registers for accreditation in order to have access to media opportunity information, as this will only be accessible on the secure section of the WYD08 website.

Applications will be considered on a case-by-case basis and decisions by World Youth Day 2008 (the organisation, or WYD 2008) will be final. WYD 2008 reserves the right to deny or withdraw accreditation.

Pilgrim media travelling with groups as media officers and/or reporters need to register as both a Pilgrim and media representative. They will select their WYD08 role as 'pilgrim media' on the media registration application form.

World Youth Day 2008 Accreditation Pass - Acknowledgments and Conditions of Use

  • Applicants must be over the age of 18 at the time of registration to be eligible for official WYD08 Media Accreditation (Media Accreditation).
  • Media Accreditation does not constitute authority to enter secure areas or have close proximity/access to visiting clergy, Bishops, Cardinals or the Holy Father.
  • The WYD08 Media Accreditation pass must be worn around your neck in the WYD08-approved accreditation pouch and lanyard, prominently and clearly displayed on your outer clothing and visible at all times.
  • Media representatives who do not follow guidelines or directions from WYD 2008 may have their Media Accreditation cancelled and/or confiscated by the Communications Directorate and will not be permitted to cover other WYD08 events or meetings.
  • Media Accreditation is issued on an individual basis; a separate application is required for each individual seeking Media Accreditation.
  • Media Accreditation cannot be transferred from individual to individual.
  • The WYD08 Media Accreditation pass must be presented for inspection when requested by WYD 2008 or by police/ambulance/fire brigade authorities.
  • When seeking Media Accreditation, you acknowledge that you may be subject to a security vetting process which may involve a criminal background check.
  • When accessing WYD08 venues, you may be subject to a security process where you and your property may be searched.
  • Lost or stolen WYD08 Media Accreditation passes must be reported immediately to the International Media Centre Welcome Desk.
  • In seeking and/or holding Media Accreditation, you acknowledge that WYD 2008, the entity which is organising World Youth Day 2008, is the Trustee for The World Youth Day 2008 Trust (the Trust). WYD 2008 has no role other than as Trustee of the Trust. WYD 2008 (or its replacement trustee) will not be liable to pay or to satisfy any of WYD 2008's obligations or liabilities except to the extent to which it is indemnified out of the assets of the Trust.
  • In seeking and/or holding Media Accreditation, you acknowledge that to the extent permitted by law, WYD 2008 will not be liable for any injury, loss or damage (including damage to equipment or theft of any goods, items or contents) suffered or incurred by you during WYD08, including any injury, loss or damage suffered by you arising out of or incidental to your attendance at the International Media Centre or while you are covering WYD08.
  • The holder of Media Accreditation indemnifies WYD 2008 against all claims, liabilities, losses, damages and costs arising from:
    1. any breach by the holder of Media Accreditation of the Acknowledgements and Conditions of Use; and
    2. any act or omission (including any negligence, unlawful conduct or wilful misconduct) by the holder of Media Accreditation.

Helpful tips for using the Media Registration System

  • Please enter complete and accurate information in each of the required fields. The system will not accept incomplete records.
  • All fields with a star (*) are mandatory and must be completed. Incomplete applications will not be processed.
  • Please ensure that all digital images are of the correct size and format. Digital images that are in an incorrect format or are of incorrect dimensions will render the image unusable. Only .jpg or .jpeg format files are accepted.
  • Please ensure that all your applications are submitted before 20 June 2008 as the system will no longer be available after this date.

Preliminary Preparation

Primary Documents (70 Points) - Verifying the name of the applicant:

  • Birth Certificate
  • Birth Card (issued by the NSW Registry of Births, Deaths and Marriages)
  • Citizenship Certificate
  • International Travel Document
    1. a current passport
    2. expired passport which has not been cancelled and was current within the preceding 2 years

Approved Documents (40 Points) - Verifying the name of the applicant and bearing a photograph of the applicant:

  • A licence or permit issued under a law of the Commonwealth, a State or Territory (e.g. an Australian drivers licence)
  • An identification card issued to a public employee
  • An identification card issued by the Commonwealth, a State or Territory as evidence of the person's entitlement to a financial benefit

Approved Documents (35 Points) - Verifying the name and address of the applicant

  • A rating authority (e.g. land rates)
  • A current employer, or a previous employer within the last 2 years

Approved Documents (25 Points) - Verifying the name of the applicant:

  • Credit card
  • Council rates notice
  • Telephone account
  • Medicare card (Australia only)

Letter of Assignment

Scanned letter of assignment on original company letterhead and attached to the online accreditation application. The letter needs to specify the name and functional title of the media representative and state that the person is specifically assigned to cover WYD08. The letter must be signed and dated by the Chief of Staff or equivalent.The following file types will be accepted for the letter: JPG, PDF, TIFF and BMP.If a media organisation is planning to accredit a large number of media representatives, WYD 2008 recommends the Chief of Staff list all media representatives on one letter of assignment instead of producing individual letters for each individual. This letter will need to be attached electronically to each media representative's application.

Passport Size Photograph

  • Include a full face, front view, with open eyes and a natural expression
  • Photos need to be full colour, black and white photos will not be accepted
  • Present full head, from top of hair to shoulders
  • Be taken against a plain white or off-white background
  • Avoid shadows on the face or background
  • Not include sunglasses or hats
  • Be in JPG format
  • Be 150 (width) x 190 (height) pixels
  • Not exceed 500kb in size.

Use of Login and Password

Media representatives requesting media accreditation are required to create their own login/password online. A login/password will only be "created" when mandatory Personal/Contact details on the application form have been completed and saved. On successfully creating a login/password, WYD08 will send an acknowledgement email to the individual.

Completion and submission of media registration does not guarantee accreditation.

Pass Collection

Media will be able to collect their accreditation pass at the Accreditation Centre in Sydney. The centre?s location will be advised closer to the event.

Where a member of the media has been subjected to a National Criminal Record Check, they must present documents to satisfy a "100 Point Identification Check" when collecting their accreditation pass.

In all other circumstances, media representatives must present one form of photo identification in order to collect their accreditation pass.

Domestic Media Registration

'Domestic media' refers to media based in Australia, including news and photo agencies. This specifically refers to individuals who permanently reside in Australia (including foreign correspondents) and not to individuals who may have a temporary visa for the purpose of covering WYD08.

International Media Registration

'International media' refers to media representatives traveling to Australia to cover WYD08. This specifically refers to media representatives that may have a temporary visa for the purpose of covering the event.

Visa Application Process

The visa application process is separate to the accreditation process. Visa information is not required for the accreditation form.

If you live in a country that requires you to obtain a visa to enter Australia, you must apply for this separately. Visa arrangements are the sole responsibility and expense of the applicant.

International media seeking to attend a conference or event in Australia should, in most cases, apply for a short stay Business Visitor Visa (subclass 456).

Those who are eligible to obtain an Electronic Travel Authority (ETA) may apply for a short-validity business ETA (subclass 977). To find out if you hold a passport from an ETA eligible country, visit www.eta.immi.gov.au/ETAAus1En.html

Media and Pilgrim Media Classifications

World Youth Day 2008 media registration is divided into two categories - Media and Pilgrim Media. It is important to ensure you select the category that applies to you, as this will determine the manner in which you will be attending the major events.

Pilgrim Media cannot be considered for media pool opportunities; therefore the only way they will gain access to the major events is by registering as Pilgrim Media.

Media

  • Includes bona fide mainstream and Catholic media organisations (this group will not participate in or attend the events as pilgrims)
  • Will have access to the International Media Centre and be given the opportunity to apply for a position on a media pool or be given access to media specific areas to cover the respective event(s)
  • Will register as 'Media' on the Media Registration webpage of the WYD08 website: www.wyd2008.org/index.php/en/media__1/media_registration
  • Will be required to undergo a NSW Police Check as part of the media registration process

Pilgrim Media

  • Includes those travelling as a registered pilgrim or with a group of pilgrims. Pilgrim Media are those whose reporting is primarily for their local parish website, newsletter, etc
  • Need to register on the Egeria webpage of the WYD08 website: www.wyd2008.org/index.php/en/pilgrims_registration/register_for_wyd08 as a pilgrim and ALSO on the WYD08 media registration webpage as pilgrim media (ie, will need to register in two places)
  • Will participate in the events as pilgrims and will access the event sites as a pilgrim. They are not able to participate in the scheduled media opportunities, nor have access to media specific areasat event venues
  • Will access the International Media Centre (IMC) during allocated times only
  • Will be able to attend press conferences
  • Will not undergo a NSW Police Check as they will not be accessing identified media areas

Media Pooling

Due to space restrictions at event venues, media pooling arrangements will be necessary for all identified media opportunities. Media representatives will be required to share coverage material with their colleagues. Media accreditation for WYD08 does not guarantee media access to media opportunities or event venues.

Further information relating to media opportunities, pooling arrangements and processes will be announced closer to the event.

Frequently asked questions

I am the media representative for a pilgrim group attending WYD08. How do I apply for accreditation?

You need to register on the WYD08 website (Pilgrims) as a pilgrim to enable you to stay with your Group. You also need to apply for Media Accreditation via the WYD08 website (Media). This will ensure you have access to the International Media Centre as per the guidelines, but can also attend all WYD08 events in your capacity as a pilgrim group member.

I work for a world news agency. How do I apply for accreditation for WYD08?

Please read the details provided above and ascertain if you are 'domestic' or 'international' media, then apply online for Media Accreditation under the correct category.

Does media accreditation for WYD08 entitle me to a visa?

No. If you are living in a country that requires you to obtain a visa to enter Australia, you must apply for this separately.
